Costa Rica Mission Reunion Committee – Minutes of Teleconference call – Tue 20 May 2003

RESOLVED:

· Time frame for Friday night's events:

            5:30 to 6:30 - Meet and greet

            6:30 to 7:20 - Eat

            7:30 to 8:30 - formal reunion meeting

            8:30 and beyond - dessert and open visiting 

· Shauna Peck Hooper will be responsible for food, which should include beans, rice and platanos, as well as a more appealing entree for spouses or those who swore they would never again....

· Other activities should be made available.  See open items below.

· A pre-registration should be utilized.  It was further determined what rather than introduce the complexity of too many pricing schemes, there would be one price for the evening, which would include dinner and dessert, and an additional amount that they can pay in advance for a DVD, which, among other things, will include slides, a directory of missionaries, video clips of the reunion, and certain other text files (stories, words to songs, etc.).  Note that this is a bit of a departure from making payment for the meal optional.  The price will be so reasonable that is shouldn't exclude anyone, and even if they don't want to eat, the proceeds can be donated to a viable and attractive venue (Phil's "Where are my geepers now" fund would not be an option)

· The next mass emailing to include stories of the Managua hostage event, recap of obtaining the Eager tape and time and place of reunion.

· First preference of location to be in south SLC close to a freeway in the home stake center of one of the missionaries, secondary is the downtown SLC location.

· In a late development, Phil thought it a good idea to put together an Electronic Presentation Committee for the evening, who would be responsible for the slide collection for DVD inclusion and the evening presentation, and the creation and distribution of the DVD.  Loren Ashcraft, who works for the church doing this type of thing, will be on the committee.

OPEN:

· Brent to get with Steve to nail down location

· Mike to consider arrangements for golf on Friday

· Further dialogue on other Friday or Sat activities, including temple session and picnic

· Possible assignment to put together the Friday evening activity

· Phil to get list of all volunteers out to us to begin filling assignments

· Phil to make assignment to chair Electronic Presentation Committee

· Possible assignment to pull together names of the missing, by release date, and distribute in mass emailing

· Determine pricing structure for the evening

· Brent to pull together next conference call for mid-June

· Tom to get hostage story and corresponding letters from GA's to Phil

· Further follow-up w/ Pres Eager to monitor condition and possibility of attending
